Ask for quotation clarity as costs change

Practical answer: Ask for quotation clarity as costs change

Ask the supplier to identify the specification, quantity, delivery conditions and validity period. Separate a budget estimate from a formal offer. Where a price depends on an unresolved detail, put that detail into the decision record. Do not assume that a broad economic trend justifies any particular supplier’s price or a unilateral change to an existing agreement.

A quotation is easier to evaluate when its assumptions are visible. In a May 2022 business enquiry, the useful questions concern what is included, how long the offer remains open and which details still require confirmation.

Economic context

The RBA’s May 2022 overview described higher global inflation and continuing challenges in supply chains. Read the RBA overview.

An illustrative example

Consider a proposed purchase with two optional components. The recipient asks for the base offer and options to be listed separately, then checks whether the validity period gives enough time for review. If more time is needed, seek an updated offer. Clear questions support a fair comparison without turning the enquiry into financial or contractual advice.

Three points to take into the conversation

  1. Check inclusions
  2. Check validity
  3. Resolve price assumptions

Before progressing the conversation, check that the purpose, current information, responsible contact and next review date are clear. For a corporate-information, supplier or partnership enquiry, contact EJN Services through its enquiry page.
