Lead with the reason for contact. Introduce the organisation and give enough context to understand the request. Separate a preferred discussion date from a firm dependency. Include a concise brief where it helps, and keep confidential records out of an unsolicited introduction. Ask one clear question about the next step.

An illustrative example

For example, a hypothetical supplier introduction asks whether a capability summary would be relevant before the holiday period. The sender explains the category supplied and a realistic response preference. The recipient can answer about fit and availability. Record the agreed follow-up in the enquiry register so the conversation can progress from a clear position.
