How to prepare a usable business handover

October 23, 2026•2 min read

What does a usable business handover contain?

Explain current tasks and status, upcoming commitments, relevant records and authorised access routes, open questions and escalation contacts. Confirm the responsibilities the receiving person has accepted.

A handover is useful when another person can find the current work and understand what needs attention. A folder full of files is only part of that job.

Start with active responsibilities

List the tasks, decisions and relationships that need continuity. For each item, record the current position and the next required action. Separate routine work from exceptions so the recipient can see what needs judgement.

Government emergency-planning guidance includes continuity planning. A routine handover is a practical way to reduce dependence on one person's memory before an unexpected absence occurs.

A compact handover checklist

  • Current tasks and their status.
  • Upcoming dates and commitments.
  • Relevant records and authorised access routes.
  • Open questions and escalation contacts.
  • Responsibilities accepted by the receiving person.

Walk through one real task

Choose an active item and ask the receiving person to explain how they would continue it. This often reveals gaps that a document review misses: an unclear approval, an outdated reference or a file nobody can access.

Do not put passwords into the handover note. Use the organisation's approved access process, with appropriate permissions for the receiving role.

Record the date and any limitations. If the handover is temporary, explain which decisions remain with the original owner and how urgent issues should be raised.

After the first few days, invite corrections and update the record. A handover should become easier to use as it is tested, rather than remaining a static document that everyone assumes is complete.

General business-process information. Check the circumstances and seek appropriate professional advice for contractual, legal or specialist decisions.
